The challenge

Physical Fitness Gym was running memberships, class schedules and bookings through manual processes. Members asked for a way to book classes themselves, and staff were spending time answering the same booking questions repeatedly. There was no single place where membership status and class capacity were visible, so overbooking was a constant risk.

The solution

We built a management platform with a public-facing booking experience and a staff-facing admin area. Members see the live class timetable, book or cancel a place, and their membership status is checked automatically before a booking is confirmed. Class capacity is enforced in the booking flow itself, so a class cannot be oversold. Staff manage schedules, members and attendance from a single dashboard.

How the project was delivered

01

Discovery

We mapped the real operational process — how classes are scheduled, how capacity is set, how walk-ins are handled — before designing anything.

02

Design

Member booking was designed to take under a minute on a phone, because that is how most members actually book a class.

03

Development

Next.js for the member and admin interfaces, Express for the API, PostgreSQL with Prisma for reliable relational data and transactional booking.

04

Testing

We tested concurrent booking scenarios directly, since two members booking the last place at the same moment is exactly where a naive implementation fails.

05

Launch

Staff were trained on the admin dashboard, with documentation and ongoing support provided after go-live.

The outcome

Members can check the timetable and book a place at any time, and staff have one view of capacity and attendance. The double-booking problem that came from manual tracking is resolved by the booking flow itself.
